Admission Process, Guidelines & Fee Refund Policy

1. General Admission Framework

S.A. College of Arts and Science is a self-financing institution affiliated to the University of Madras.

Admissions are made strictly in accordance with the eligibility norms and academic regulations prescribed by the University of Madras and the Government of Tamil Nadu.

2. Reservation and Admission Categories

Admissions are made under two distinct categories:

1. Merit Quota (50% of the sanctioned strength)

Filled following the Government of Tamil Nadu reservation policy. Selection is purely based on merit.

2. Management Quota (50% of the sanctioned strength)

Filled at the discretion of the Management, considering eligibility, merit, and overall suitability. Aims to attract and retain high-merit students under the self-financing stream.

3. Management Quota – Provisional Admission

Provisional admissions under the Management Quota may commence before the publication of the Higher Secondary (+2) results.

These admissions are purely conditional and will be confirmed only upon the candidate passing the qualifying examination with the minimum percentage of marks prescribed by the University of Madras, as agreed upon and approved by the Admission Committee at the time of admission.

Candidates who fail to meet the prescribed eligibility conditions will have their admission automatically cancelled, and the fees refunded in full.

All provisionally admitted candidates must confirm their admission within two days after the publication of the results, failing which the seat will be treated as vacant and may be allotted to the next eligible applicant.

The College reserves the right to withdraw or modify provisional offers if the University or Government revises eligibility norms.

4. Merit Quota Admission Schedule

Applications for Merit Quota admissions will remain open for four days after the publication of the qualifying examination results.

The first selection list will be published on the fifth day. Admissions for the first list will be completed by the end of the sixth day after the results.

The second selection list will include those who missed the first list and will be allotted seats, if available, from the seventh to the tenth day after the results.

From the eleventh day onwards, the College reserves the right to admit eligible candidates to the vacant merit quota seats as per institutional discretion and University guidelines.

5. Documents to be Submitted

  • SSLC / 10th Mark Sheet
  • HSC / +2 Mark Sheet
  • Transfer Certificate (TC)
  • Conduct Certificate
  • Community Certificate (if applicable)
  • Aadhaar Card (photocopy)
  • Four Passport-size Photographs

6. General Guidelines

All admissions are provisional until approved by the University of Madras.

Students must adhere to the discipline, dress code, and attendance policies of the College.

The College reserves the right to cancel admission if any misrepresentation or misconduct is found.

Change of course, once admitted, is subject to University regulations and availability of seats.

7. Fee Refund Policy

A. Merit Quota Admissions

B. Management Quota Admissions

C. General Conditions

A. Merit Quota Admissions

Refund of fees for candidates admitted under the Merit Quota will follow the rules and norms prescribed by the University of Madras, UGC, the State Government, or any applicable court orders as on the date of admission.

Requests must be made in writing, enclosing the original fee receipt and admission documents.

Refunds, if applicable, will be processed within 30 working days through account transfer or cheque.

B. Management Quota Admissions

Candidates admitted under the Management Quota are expected to continue their studies as part of the self-financing commitment.

As a general rule, fees once paid under the Management Quota will not be refunded, in order to maintain fairness and to prevent displacement of other high-merit applicants.

However, full refund will be made if the candidate fails to pass the qualifying (+2) examination or does not meet the minimum percentage required for eligibility at the time of confirmation.

Beyond this stage, refunds are not encouraged, though the Management reserves the right to consider exceptional cases. Such decisions are purely discretionary and cannot be claimed as a right or compared with other cases.

C. General Conditions

In the event of a student withdrawal after the completion of the merit admission process, and despite the refund norms mentioned above, the College reserves the right to seek a Caution Deposit equivalent to the total fees payable for the entire duration of the programme.

This measure ensures that the College does not incur financial loss due to withdrawal after seat closure.

The Caution Deposit shall be refundable only if the vacated seat is subsequently filled through a valid lateral entry or equivalent admission as permitted by the University of Madras.

The mode of deposit—either cash or bank guarantee—will be decided at the discretion of the College Management.

Refunds will not be processed for students with outstanding dues or disciplinary issues.

The Caution Deposit, if collected, will be refunded upon completion of the course or withdrawal after clearance of all dues.

Processing fees, University registration, and admission charges are non-refundable under any circumstances.
